Istead Rise Netball Club (IRNC) are committed to protecting and respecting your privacy. For any personal data you provide for the purposes of your membership, IRNC is the Data Controller and is responsible for storing and otherwise processing that data in a fair, lawful, secure and transparent way.
What personal data we hold on you
You may give us information about you by filling in forms at an event or online, or by corresponding with us by phone, e-mail or otherwise. This includes information you provide when you register with the Club. We may also ask for relevant health information which is classed as special category personal data.
We might collect the following personal details about you during before, during or after your time as a member:
• details of how we can contact you, such as your name, email address, where you live and phone number;
• your date of birth
• your gender
• any medical issues
• membership details including when you signed up to be a member and any date you decide to leave us
• any bank details belonging to you or parent/carer so that we can receive payments from you and details of any
payments you make
• records that tell us when you were at our events or competitions
• videos and photos of you
• details of family members, coaches and other people we might need to contact in case of an emergency;
Why we need your personal data
The reason we need your data is to be able to administer your membership, and provide the membership services you are signing up to when you register with the club. Our lawful basis for processing your personal is that we have a contractual obligation to you as a member to provide the services you are registering for.
Reasons we need to process your data include:
For training and competition entry
• sharing personal data with club coaches or officials to administer training sessions;
• sharing personal data with club team managers to enter leagues and events;
• sharing personal data with leagues, county associations and other competition providers for entry in events.
For membership and club management
• processing of membership forms and payments
• sharing data with committee members/captains to provide information about club activities, matches, membership
renewals or invitation to social events
• publishing of competition results
• sending an annual club survey to improve your experience as a club member
Marketing and communications
• IRNC do not give your details to any third parties who may send you marketing material. We only use your details
to send you information about club news/information, matches and kits orders.
Any special category health data (e.g medical conditions, injuries) we hold on you is only processed for the purpose(s) of
passing health data to coaches to allow the safe running of training sessions. We process this data on the lawful basis of
consent. Therefore, we will also need your explicit consent to process this data, which we will ask for at the point of collecting it.
On occasion we may collect personal data from non-members (e.g. such as any non-member participant who fills in a health disclaimer or form at a taster event or Back to Netball session. This information will be stored for as long as that non-member is participating in the activity and then destroyed securely. Our lawful basis for processing data is consent. Therefore, we will also need explicit consent from non-members to process this data, which we will ask for at the point of collecting it.
The club has the following social media pages: Facebook, WhatsApp, Twitter, Instagram. All members are free to join these pages. If you join one of the Social Media pages, please note that provider of the social media platform(s) have their own privacy policies and that the club do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data on the club social media pages.
Who we share your personal data with
The Club does not supply any personal data it holds for these purposes to any other third party.
When you become a member of the Club, you will need to register as a member of England Netball. This is a requirement to participate in league matches. You can register as an England Netball member via their Engage system. You can set and amend your privacy settings from the Engage system.
The personal details entered into the system will be made accessible to IRNC by England Netball. This data will only be
accessible by IRNC’s Club Secretary, Membership Secretary and Data Protection Lead.

How long we hold your personal data
We will hold your personal data on file for as long as you are a member with us. Member data is updated every year on annual membership forms. Any personal data we hold on you will be securely destroyed after six years of inactivity on that member’s account, in line with England Netball’s retention policy. Your data is not processed for any further purposes other than those detailed in this policy. It is important to make sure that the details we hold about you are accurate and up-to-date, so make sure you let us know if anything like your email address or phone number changes. You can normally do this by contacting the Club Secretary.
Your rights regarding your personal data
You can ask us:
• to tell you how your details are being used
• to provide you with a copy of all details we hold on you
• to correct some of the details we hold if they are not correct or out of date
• to delete all of the details we hold on you (unless we have a good reason not to)
• to stop using your details in a certain way
• to send your details to you or another organisation

You are not obliged to share your personal data with the Club. If you choose not to share your personal data with us we may not be able to register or administer your membership.

Coronavirus - Track and Trace
The development of the NHS ‘Test and Trace’ scheme is a key part of the government’s plan to manage Coronavirus. As
netball begins its return to play, the safety and wellbeing of attendees and their families is a priority.
Any netball activity must support the NHS test and trace efforts by collecting and maintaining records on those attending any netball activities.
Your personal data needed for test and trace will be collected via England Netball’s “Track & Trace” facility in their Engage system. Information collected as part of this contact-tracing initiative will be stored securely and lawfully by the organisations involved, and by NHS Test and Trace (if passed to them), in line with the requirements of the GDPR and
Data Protection Act 2018.
The personal details entered into England Netball’s “Track & Trace” facility will be also be accessible to IRNC in order for us to ensure that all attendees are safe to attend our club netball activity. This data will only be accessible by IRNC’s Lead Covid Officer, Club Secretary, Safeguarding Officer and Data Protection Lead.
Your data collected for this purpose will be stored for a minimum of 21 days, at which point it will be deleted or destroyed.
Where your data is passed to NHS Test and Trace in the case of a suspected outbreak, your information will be kept for up to 8 years, as part of the standard contact-tracing retention period set out by Public Health England.
